Operations support that feels good.
Because when your systems work, Sunday nights feel different and you don’t start sweating when your email pings.
Nothing makes our blood boil more than…
A business owner who's smart, capable, and good at what they do — who's also still the person everything runs through. Every decision, every hire, every major launch and piece of content. Not because they want to edit and approve everything, but because everything they’ve tried to delegate or systematize had resulted in more work, not less.
They bought the software. They hired the VA. They took the course on systems. And somehow, they're still the one holding it all together at 10pm on a Sunday, with fewer dollars in their pocket and skepticism about the word “systems”.
The story can end differently.
And Exhale Operations was founded to make that happen. Most operations fixes fail because they start in the wrong place.
Someone installs a project management tool, or hires a VA, or asks AI to handle more of the work and then discovers that none of it helped the way they expected.
A VA without clear processes to follow is just more to manage. Software out of the box isn't built for your business model or your brain. And AI, for all the ways it can genuinely help, often creates more confusion than clarity when it gets layered on top of a messy foundation.
The order matters. You build the system before you hire into it. You design around how you actually work, not around how the software wants you to work. You make decisions once and let the structure carry them forward.
That's what Exhale does and it's why the systems still work after we're gone.
ABOUT
Samantha
I didn't plan to start an operations company.
After years at advertising and marketing consulting firms, my first adventure as an entrepreneur was building a confidence coaching business for high-achieving women to six figures. I did it all solo, all online, all remote.
As the years went on, I’d often catch myself spending full mornings setting up email automations and redesigning my workflows. I was more drawn to that work than the coaching.
When I'd mention this pattern to my small business friends, they looked at me like I was speaking a foreign language. That was the work they avoided. The stuff they put off indefinitely because they had no time, no interest, and no idea where to start.
That gap — between what came naturally to me and what was stopping everyone else — is where the idea for Exhale came from.
Operations deserves a glow up.
Before I jumped into the deep end of running a small business, I was in new business strategy at an advertising agency and a marketing consulting firm. Both firms consistently did 8-figures in revenue and in both roles, my boss and I were responsible for ~25% of that new revenue every year.
My days were spend managing pitches for millions of dollars worth of business, coordinating between teams for clean handoffs and building templates and systems to make it easier to bring in more money to the business and keep it. I saw first hand how operations was directly tied to more money - whether we had more time to focus on outreach, a more convincing pitch or better onboarding for more credibility.
I realized that big and small business owners alike often overlook the direct connection between clean operations and more revenue in the door. I’d seen it in both contexts and now, with Exhale, I’m making it my mission to give operations the Princess Diaries Mia Thermopolis Rinaldi makeover moment it deserves.

Fun Fact #1I hold a WSET Level 2 certification in wine. I loved studying the system behind why certain climate or geography affects how wine tastes!
Fun Fact #2I split my time between Austin, TX and Nantucket, MA. If you needed more proof I know how to stay organized, try moving your life cross-country 2x a year!
Fun Fact #3When I graduated from college, I wanted to be a wedding planner (very unlike most of my Yale classmates). It wasn’t right for me long term but I still love hosting!
Who we work best with…
The clients we do our best work with share a few things in common:
You're the founder, and the business still runs through you.
Not because you haven't tried to hand things off, rather because nothing you've tried has actually stuck. Every system either falls apart without you or creates more work than it saves.
You're good at what you do.
The service is solid. The clients are happy. The problem isn't the work, it's the infrastructure around it. That's what's eating up your time and mental capacity.
You've hit a ceiling that isn't about effort.
You can't outwork this one. You know the issue is deeper, even if you're not sure what to do about it.
You don't have time to fix the problem.
Which is the whole irony. You need to get your operations sorted, but you're too busy keeping things running to stop and sort them. You need someone to come in and do the work, not hand you homework.
we gotta be honest…
We’re probably not for you if…
60-hour weeks are just your vibe.
You prefer working harder over working smarter and there’s nothing else in your life you’d prefer spending time doing. Besides, being the person everything runs through makes you feel needed.
You dream of days full of meetings and people management.
Yes, you started a business to do that thing you love but the long term vision is to manage dozens of people individually and spend all your time in meetings they dropped on your calendar.
You actually love trial and error.
Trying three different software tools just to figure out each is missing a key functionality? Hiring and firing VA’s because they couldn’t do things faster than you can? Losing a client because of an accidental automatic message? Way more fun than just fixing things once.
You’d prefer to be blind to what’s going wrong beneath the hood.
It’s not just that operations aren’t your strong suit, you can’t be bothered to understand systems in your business. Sure, how the business runs affect your bottom line but operations are somebody else’s problem.
You’re a DIY ‘till you die kinda business owner.
Sure, it might take you 4 full business days to setup a new platform when you could have closed two new clients but you just don’t see the value in other people’s expertise, even when it can save you months and thousands of dollars in wasted investments.
You know your business will make you money… one day.
You’re passionate about what you’re building and think people will pay you for it…at some point. While we’d love to support you, securing revenue should be your first priority right now. You can call us later!
